Driver & Supplier Terms & Conditions

For drivers and suppliers accepting work from A to B Travel & Executive.

1. Accepting work

When you accept an A to B booking, you agree to carry it out as described in the job details we send you, unless something genuinely outside your control prevents it.

You may accept a booking through the calendar invitation, email, WhatsApp, telephone or any other method agreed with us. By accepting the booking, you accept the job details and these Driver & Supplier Terms & Conditions.

A link to these terms is included in every job email and calendar invitation we send you. If a job is agreed by another method, we will send the terms link with the written job confirmation. It is your responsibility to read the terms before accepting work.

2. Licensing, insurance and vehicle

You must:

  • hold all licences and permissions required for the work — driver badge and vehicle licence (PHVL)
  • use an appropriately licensed and insured vehicle, with cover valid for the work and for the area the journey covers
  • keep the vehicle clean, presentable, safe and roadworthy
  • tell us immediately if any licence, insurance or legal requirement changes or lapses

Keep your documents current with us. We record expiry dates for your badge, licence, PHVL and insurance, and the system warns us before they run out. We cannot allocate work on expired documents.

3. Before the journey — checking and timing

Check the job details as soon as you accept, and tell us at once if anything looks wrong.

Where the job involves an airport collection, check the flight before you set off. Flights are delayed, and a delayed flight is never the passenger's fault — checking it is part of the job.

Allow yourself the time you need to reach the collection point. Traffic, parking and airport access are yours to plan for.

The time on the job is the agreed collection time. You may contact the passenger to coordinate, and you may agree a different time — but only where you can accommodate it without affecting another confirmed journey. If a change would affect other work, or you are not sure, tell us before agreeing it.

Waiting at an ordinary collection. 10 minutes from the agreed time is included. If nobody is ready and you cannot reach the passenger, tell us at 20 minutes — do not simply leave, and do not sit there indefinitely. Any further waiting or revised time is agreed with the passenger first, and any additional charge is agreed by us, not by you.

4. During the journey

  • Arrive at the collection point on time, allowing reasonable time to find the passenger
  • Treat passengers professionally, respectfully and without discrimination
  • Follow the job details we send you
  • Tell us straight away about delays, incidents, breakdowns or anything else affecting the booking

Where a booking has more than one stop and waiting time applies, the arrangement must be clear with the passenger before you set off. Do not agree changes to the price yourself.

5. Price and customer contact

Do not change the agreed passenger price or negotiate a different fare unless we have authorised it.

The price the customer pays is confidential. It is deliberately not shown in your job email or calendar entry, and it must not be discussed with passengers.

Do not solicit, divert or privately re-book A to B customers. Work arising from an A to B booking belongs to A to B.

6. Recording equipment in your vehicle

Recording equipment in your own vehicle is your responsibility, not A to B's.

Where a vehicle has CCTV or a dashcam, registration with the Information Commissioner's Office and the data protection fee are a legal requirement. A to B recommends keeping yours up to date — it protects you if there is ever a complaint or an accident.

Where footage is relevant to a complaint, an incident or a request from the Council or the police, we may ask you for it.

7. Passenger information

Passenger names, addresses, telephone numbers and flight details are confidential. Use them only to complete that journey, and do not keep, share or reuse them afterwards, except where the law requires disclosure.

8. Difficult passengers

You may end a journey where a passenger is abusive, aggressive, threatening, discriminatory or unsafe. Your safety comes first.

Where a situation escalates, call the police. Then tell us as soon as you are able.

⚖️ This is about behaviour, never about who someone is. Refusing a passenger on grounds of race, religion, sex, disability, age or any other protected characteristic is unlawful. Assistance dogs must always be carried.

9. Cancellations and non-attendance

If you cannot complete a booking you have accepted, tell us immediately and say why, so we can cover the journey.

Repeated late cancellations, failures to attend or avoidable failures to complete accepted work may affect how much work we allocate to you.

10. Incidents and complaints

Report any accident, passenger complaint, damage, safety incident, police involvement or other significant event connected with an A to B booking as soon as reasonably practicable.

11. Records

Give us the information we reasonably need to keep accurate booking records, including whether a job was completed and details of any incident. We are required to keep booking records and to make them available for inspection by the Council or the police.

12. Payment

How much. For each booking, the amount payable to you is stated in the job offer before you travel. By accepting the job you accept that amount as the full payment due to you for that journey. Amounts are agreed job by job and may differ between jobs and between drivers.

When. Payments run on a weekly cycle:

  • The pay week runs Tuesday to Monday
  • That week is paid on the following Tuesday

Cash. Where you collect cash from a passenger on an A to B booking, that money is already yours in hand — it is deducted from the transfer for that week.

⚠️ Cash on another operator's booking is not yours to keep. Where a job comes from an operator such as M&L and the passenger pays you directly, that money is settled with that operator, not through A to B.

Statement. You can ask for a statement of your work for any period at any time. It is sent as an email with a PDF attached, so you have a record for your own accounts and tax return.

13. Your status

You are engaged as a self-employed driver or supplier, responsible for your own tax, National Insurance and insurance.

Nothing in these terms overrides licensing, employment, tax, insurance, consumer or data protection law. The legal status of any working arrangement is determined by how it actually operates, not by the wording of this document.
